Billing and subscription
How your workspace subscription works, plans, seats, storage add-ons, and what each subscription state means.
Your workspace runs on a per-workspace subscription. One subscription covers the whole organisation: every member, every feature, and your shared cloud storage. Billing is handled through Razorpay using recurring payments, so renewals are charged automatically once you set up a payment method.
Where it lives
Workspace, Billing. The page shows your current plan, seat and storage usage, payment method, storage add-ons, and a history of past charges.
Billing is Owner-only. The Manage Billing permission is granted to the Owner role by default and is not given to Admins or Managers. If you don't see Billing in the sidebar, you don't have this permission, ask a workspace Owner.
The free trial
Every new workspace starts on a 14-day free trial. During the trial:
- There is no seat cap, invite as many members as you like.
- The full Growth feature set is unlocked so you can evaluate chat, meetings, notifications, and more.
- No payment method is required to start.
You can add a payment method and pick a plan at any point during the trial. A few days before the trial ends, a banner reminds you to choose a plan.
When the trial ends without a paid plan in place, the workspace becomes suspended (see below). To avoid that, open Billing and complete checkout before the trial date.
Subscription states
The billing dashboard shows a status pill. These are the states you might see:

| Active | A paid plan is in place and renewals are succeeding. |
| Past due | A renewal charge failed. We retry the saved payment method automatically. |
| Grace period | Retries are still failing. The workspace stays usable for a short grace window, then gets suspended. |
| Suspended | The trial expired without a plan, or billing failed through the whole grace window. Access is restricted. |
| Canceled | The subscription was cancelled and the current period has ended. |
Choosing a plan (checkout)
From the billing dashboard, click Choose plan (during a trial) or Change plan. The checkout page at Billing, Checkout lets you set:
- Billing cycle: Monthly or Yearly. Yearly is billed once for twelve months at a discount.
- Plan tier: Starter, Growth, or Business (see below).
- Seats: how many members will use the workspace. You cannot set seats below your current member count, remove members first if you need fewer.
- Storage add-on (optional): one extra storage pack on top of your tier's included quota.
- Billing details: company name, phone, address, and an optional GSTIN for GST credit on invoices.
A live summary shows the line items and total. Clicking Pay & activate opens the Razorpay checkout window. Once payment is confirmed, your subscription goes Active and you land back on the billing dashboard.
Plan tiers
There are three tiers. Pricing is per seat, per month (yearly billing applies a discount):

Higher tiers unlock more features. Growth adds chat, meetings, WhatsApp and Telegram notifications, rewards, the password vault, and marketing tools. Business adds white-labelling and the developer API on top of everything in Growth. The full feature comparison is on the public pricing page (reachable from the billing dashboard via Compare plans).
Seats
A seat is one active member of the workspace. Your subscription has a paid seat count; the billing dashboard shows seats used against seats paid. When every seat is in use, add more from Billing, Checkout before inviting new members. There is no seat limit during the trial.
Storage add-on packs
Each tier includes a pooled cloud storage quota shared across the whole workspace. If you need more, add a storage pack on top:
- +200 GB
- +500 GB
- +1 TB
Add-on storage is a workspace-wide pool, not per seat. Manage packs from the Storage add-ons card on the billing dashboard. Removing a pack takes effect at your next renewal. Note that files attached from Google Drive do not count toward your storage quota.
The billing banner
A banner appears at the top of the workspace for anyone with Manage Billing when something needs attention:
- Trial ending: shown in the final days of the trial.
- Payment failed (past due): a renewal charge failed and is being retried.
- Grace period: retries are still failing; the banner counts down the days left before suspension.
- Suspended: the workspace is suspended and needs a renewal.
Members without the Manage Billing permission do not see the banner.
What "Suspended" means
When a workspace is suspended, it is not deleted and your data is safe, but access is restricted until billing is sorted out:
- Sign-in is limited. Only the Owner and the four longest-standing members (by join date) can still sign in.
- Paid features are blocked. Feature-gated areas return an access error.
- New uploads are blocked. Existing files stay readable and deletable, you just can't add new ones.
- Reading existing data still works for the members who can sign in.
To lift a suspension, an Owner opens Billing and completes a renewal or sets up a paid plan.
Cancelling
From the billing dashboard you can end the trial or cancel a paid subscription. Cancellation does not cut access immediately:
- The workspace stays active until the current period ends (or until the trial ends).
- After that, the workspace becomes suspended.
If you change your mind before the period ends, use Resume subscription (or Continue after trial) to undo the cancellation.
Invoices
The Invoices card lists every charge, retry, and proration, with the amount, period, status, and date. Use it to review past billing or reconcile payments.
Permissions you'll need
The entire Billing area, including viewing invoices, changing plans, adding seats or storage, and cancelling, requires the Manage Billing permission. By default only the Owner has it. Admins and Managers do not, this is intentional, since billing exposes payment and invoice details.
