Document config

Set the header printed at the top of your invoices, quotes and payment receipts.

Every PDF you download or email from CRM (invoices, quotes and payment receipts) carries the same header: a band across the full width of the top of every page. Document config is where you decide what goes in it.

Where it lives

Dashboard → Document config. It is part of CRM, where invoices, quotes and payment receipts are made, so it appears only when your plan includes CRM.

Choosing a header style

Under Header style, pick one of two options:

  • Company details (the default). The header is built for you from the details you fill in on the page: your name, logo and address on the left, your registration numbers and contact details on the right. Anything you leave blank is simply left out.
  • Custom image. Your own letterhead image replaces the whole header. Nothing else is printed in the band.

Click Save changes when done. Your company details are kept while a custom image is in use, so you can switch back at any time. If you try to leave the page with unsaved changes (a sidebar link, a reload, closing the tab), you are asked first.

Company details

Each field is optional and is printed only when it is filled in.

  • Legal name, printed as the company name. Up to 160 characters. Leave it blank to use your organisation name.
  • CIN or LLPIN. Enter either a 21-character Corporate Identity Number (e.g. U72900KA2020PTC123456) or an LLP Identification Number (e.g. AAB-1234). The page detects which one you entered and labels it CIN or LLPIN on the document for you. Spaces and lowercase letters are tidied up, and an LLPIN typed without its hyphen gets one.
  • PAN, your 10-character Permanent Account Number (e.g. AABCA1234F).
  • Registered address, up to 4 lines and 300 characters. Blank lines are dropped.
  • Phone, printed exactly as you type it, so you can format it the way your letterhead does (e.g. +91 80 4567 8900 / 8901). Use digits, spaces and + ( ) - . / only.
  • Email, a single email address, e.g. accounts@yourcompany.com.
  • Show logo, prints your workspace logo at the left of the header. Turn it off to leave the logo out.

The header always fits its band: long names and addresses are set in a smaller size rather than cut off.

Custom header image

The Header image card is where you upload your letterhead. Drop an image onto the frame, or click Upload image. The image must be:

  • A 5:1 image. The band is 210 x 42 mm, so the ideal size is 2480 x 496 px (210 x 42 mm at 300 DPI).
  • At least 1240 x 248 px and at most 4960 x 992 px, still 5:1.
  • A PNG or JPEG, up to 5 MB. A WebP (or a HEIC photo, where your browser can open it) is converted for you before upload, and a wider image is scaled down to 2480 px. A PNG or JPEG that already meets the spec is uploaded exactly as it is, so small printed text stays sharp.

Uploading an image stores it and selects Custom image for you; click Save changes to start using it on your documents (or Discard changes to keep your current header). If your saved header is already the image, Replace image swaps it on your documents straight away, and the card says so before you upload. Remove takes the image off and switches your header back to company details at once. While an upload is in progress, Save changes waits for it to finish. The header image counts toward your workspace's cloud storage.

Designing the image

Keep anything important away from the very edges: the band runs edge to edge across the page, so the image fills the full width of the paper.

Live preview

The Preview card shows a sample invoice (with made-up items, never one of your real customers) wearing your header, priced in your workspace's default currency. It updates a moment after you stop typing and shows your unsaved changes, so you can try things before saving. Click View larger to open the whole PDF, or Download sample to save it.

If an image could not be printed, the document is still made without it and the preview says why under the page: for example a logo that is too large, not at a public web address, or an SVG using features the PDF renderer does not support, or a header image that could not be loaded (the company-details header is used instead). Your real invoices, quotes and receipts leave the image out the same way, so fix it here.

Logo and colour

The logo and the accent colour on your documents come from your workspace branding, not from this page. Change them under Organisation settings. The logo is printed only with the Company details style; a custom image header has no logo.

For the logo to print, it must be:

  • A PNG or JPEG (best), a GIF or WebP, at most 2048 px on a side and 4 megapixels; or
  • A simple SVG of at most 512 KB: shapes, gradients, text and simple style rules (.st0 { ... }) are fine, but an SVG containing images, filters, patterns, markers, <use> references, scripts, links to other files, or style rules that depend on nesting (.a .b { ... }) is left out. So is one that takes too long to draw.

If your logo is left out, the Show logo line on this page says why.

Where the header appears

On every page of:

  • the Download PDF of an invoice, a quote or a payment receipt;
  • the PDF attached when you Send an invoice, a quote or a receipt by email.

The download and the emailed attachment are the same file, so what you preview before sending is exactly what your client receives.

The body of each document also shows where it stands: a cancelled invoice reads Cancelled with no amount due, a quote that was declined, expired, cancelled or converted to an invoice says so, and a downloaded draft carries a Draft marker (emailing it issues it, so the sent copy has none). Your client's address is printed under their name.

Permissions

You need Manage Org to open this page and change the header. Owners and Admins have it by default. The page is available only when your plan includes CRM.
